Industry fit
BusinessAdminPro is shaped to the customer's specific industry, not a generic SaaS. This is the question we hear first.
- Do you work with my industry?
- If you have customers, money, jobs, and a team, the answer is almost certainly yes — the modules are configured during onboarding to your trade's terminology, fields, and workflows. We've shaped it for home services (plumbers, HVAC, electricians, landscapers), professional services (accountants, attorneys, agencies, consultants), retail and food (shops, restaurants, salons, spas), and trades (general contractors, specialty contractors). If your industry is unusually structured, we'll be honest about fit on the discovery call.
- What does "industry-tailored" actually mean?
- Your modules don't ship as generic templates. During onboarding, we configure: pipeline stages to your sales motion, line-item catalog to your priced services or products, job types and required certifications, inventory model (SKUs vs parts vs ingredients), invoice templates and payment terms, employee handbook and required forms, and the customer-portal copy. By go-live, the platform looks like it was built for your trade.
- Can I customize further after go-live?
- Yes. Custom fields, additional workflows, new templates, and new automations are first-class — your admin user (usually the owner or office manager) can configure most of it without us. For deeper changes, your success contact takes the request and turns it around in days, not weeks.
Data ownership
The first thing any operator should ask. Same answer in every contract we sign.
- Who owns the data?
- You do — exclusively. Customer records, invoices, documents, audit logs, configurations, everything. We're the custodian; you're the owner. Written into every contract.
- Can we export our data at any time?
- Yes. One-click full export from the admin app, no notice required, no charge, no negotiation. The data model is documented so the export is usable wherever you take it.
- Do you sell, syndicate, or train AI models on our data?
- No, to all three. Customer records are never sold, syndicated to data brokers, or used for AI training — under any business model. The clause is in every contract.
Migration & exit
- We're on QuickBooks / ServiceTitan / Jobber / Housecall Pro / FreshBooks today. Can you migrate us?
- Yes. Migration paths exist for QuickBooks, Xero, FreshBooks, ServiceTitan, Jobber, Housecall Pro, HubSpot, and generic CSV/Excel. Migration is flat-rate by source vendor, quoted up front, and runs in staging first — you sign off before cutover.
- How long does migration usually take?
- Most businesses are live in three to six weeks of joint work between our team and yours. We don't drag implementations out — flat-rate scope, fixed timeline.
- What's your exit clause?
- One clause: we hand you a complete encrypted export of every record, document, audit log, and configuration. No penalty, no notice period beyond the contract term, no negotiation.

- Where does the data live?
- Hosted infrastructure with hourly backups across multiple regions. Backups are encrypted with their own key. We share the current hosting region and infrastructure details on the discovery call so they're part of the written record.
- What about WCAG accessibility?
- Both the admin app and the customer portal target WCAG 2.1 AA on every release. We commission a third-party audit per major release.
- Are you SOC 2 Type II certified?
- In progress. Until certification lands, we publish our controls openly on the Security page and answer any due-diligence questionnaire your underwriter or enterprise customer sends.
- What about PCI compliance for payments?
- Card data never touches our infrastructure — we tokenize through your payment processor's hosted fields. Your operation inherits the processor's PCI scope, which is the simplest position to be in.
- How is sensitive data protected?
- Encrypted at rest (AES-256) and in flight (TLS 1.3). Sensitive identifiers — SSN, EIN, bank account numbers — get an additional column-level encryption layer so an internal breach can't reveal them. Every read and write is logged.

- How is the platform priced?
- Three tiers by team size. Flat annual price. Industry-tailored onboarding included. Your CPA gets a seat at no extra charge. No per-module, per-record, or per-transaction fees.
- How long are contracts?
- Annual by default. Multi-year contracts (2–3 years) include a modest discount and a single fixed written-in escalator. Either way, the exit clause is the same.
- Can we change tiers mid-contract?
- Yes. If your team grows or you want to add modules above your tier limit, we move you up and prorate the difference. Tier downgrades happen at renewal.
- Are there transaction fees on payments?
- Not from us. You pay your payment processor's interchange + processor fee (whatever you've negotiated with them); we don't add a markup. That's the point of being processor-agnostic.
Implementation & support
- What's the time to go live?
- Three to six weeks for most operators, including industry-tailored configuration. Migration runs in staging; you cut over when ready. We don't bill for elapsed time — only for scope completed.
- Do you come on-site?
- Yes for the Growth and Scale tiers. Hands-on rollout includes on-site go-live for cutover week. Travel costs are billed at cost; the time isn't. Starter-tier rollout is remote with screen-shares.
- What's included in support?
- Email + business-hours support in every tier; 4-hour SLA in Growth; 24/7 + 30-minute SLA in Scale. No per-incident fees, no support overage charges.
- Will my team need training?
- Some. We run two role-based training sessions during rollout (one for owners/admins, one for field/counter/office staff) and record both. The interface is designed to be learnable, so most users are productive within a week.
The product
- Is there a native mobile app?
- Not currently. The admin app and customer portal are responsive and tested on iPads, Android tablets, and phones — field crews typically use the browser on a phone. Native apps aren't on the near-term roadmap because browser-based works well enough.
- Do you have an API?
- An external API is on the roadmap. If you have a specific integration in mind — your website CMS, a specialized vendor portal, a marketing tool — mention it on the discovery call so we can scope it into the implementation.
- What if you don't have a module I need?
- Tell us. We add modules based on what real operators ask for, not what we guess will sell. If it's adjacent to what's there and reasonable to ship, it gets onto the roadmap.

- W-9 and COI on request. References available as our customer base grows; until then, the discovery call includes a live walkthrough of the actual product so you can see what you're buying before signing.
